Apple recently released a helpful support document explaining how the new Spotlight indexing works across its devices. The background process creates a local catalog of your data so tools like the new Siri AI can quickly find your files, photos, and messages. Since this initial setup can take hours or even days, Apple shared three specific ways to help the system finish the job faster.
Three simple conditions help the indexing process finish much faster
According to the document, you can speed up the background work by leaving your device alone. The software works best when the hardware is not in active use. You should also plug your device into a power source so the battery does not drain while the system sorts through your personal data.
Finally, you need to connect your iPhone or iPad to the internet using Wi-Fi or an Ethernet cable. The system needs a steady connection in case it has to download emails or other cloud data to complete the local index file.

Users can easily check the indexing progress on their devices
The support page also notes how you can check if the process is still running. If you are using a Mac, you can press the Command and Space keys to open the search window. A progress indicator will appear right at the top of the screen if the system is still working.
On mobile devices, you might see a small message inside the Settings app letting you know that search features are still optimizing. The default mail application might also show a separate alert if it is still sorting through your inbox.
Because the index file lives locally on your hardware, this entire process must happen separately on every single piece of Apple gear you own. Once the big initial scan is out of the way, future daily updates will happen much faster in the background without you even noticing.
